How to Share Asset Collections

Before you can share collections, you must have access to the assets that you want to share and a Mox workspace. A workspace role of Editor or above to share assets that you own, or have a collection role of Manager to share collections owned by others.

You can share a collection at the time of creation or you can easily edit an existing collection and update its sharing properties. Sharing assets makes it easy for other team members to view, view and download, or manage assets on your behalf.


Sharing a Collection at Creation

Step 1: Select assets to share or click on Create Collection.

Step 2: Give the collection a Name.

Step 3: Choose Share with a group or specific team member from the Type drop-down.

Step 4: Search for an existing team member, or group or invite a new one by performing the following:

  • If the team member already exists in your Mox workspace, you can search for and add them.

  • If the team member does not already exist, type in their email address and click on invite. They will be assigned the minimum workspace role needed to give them access to the collection.

  • Note: You can always go to the Team page and change their role later if needed.

Step 4: Select a Role to assign to the Users. You can invite each separately by adding multiple users with the same role. If you want to share the collection with more users with a different role, click the checkmark next to the row and then invite more users with a different role.

Note: If the team member already exists, the collection role that you can assign is controlled by their workspace role.

Step 5: Click Create.

Note: If you invite new users not already part of your team, a confirmation box will show who you are inviting to the workspace and ask if you are sure you want to continue.

Newly invited users will receive a "Welcome to Mox" email to activate their account. After they activate and log in to Mox, they will see any collection that has been shared with them on the Home page and Assets page.

Invited users who already have an account in another workspace will receive an email containing a link to join your workspace.


Edit an Existing Collections Sharing Properties

Some reasons why you may want to or need to Edit collections sharing properties are:

  • Remove users

  • Adjust a user's current role

  • Add or Invite users

Note: Only users that were assigned the Manager role or the owner of the collection can edit.

Step 1: Click on the More Actions (...) menu of the collection that you want to edit.

Step 2: Click Edit.

Step 3: In the Edit Collection window, you can change user access to the collection (add, remove, invite new users, and change their roles) and update the name of the collection.

  • To remove a user from a collection, click the X

  • To add users to a collection, click the checkmark

Step 4: When you are finished, click Update.

Note: Mox does not notify users when a collection is shared or updated
