How to Build a New Project from Workflow

Steps on how to build out a project using the Workflow builder

Mox supports workflows with parallel and sequential tasks. Use the drag-and-drop feature to easily build out your workflow.

To do this, you must have access to the Mox workspace and be the project owner, or have a workspace role of Workspace Owner or Account Owner.


Creating a New Project from a Clean Slate

Step 1: On the Home page of your workspace, click + Create Project.

Step 2: A window will appear to create a new project. Enter a name for your project.

Step 3: (Optional) Click in the Due Date field to add a date. If your schedule changes, you can update it later. Click in the Notes section to add anything you want to mention about your project.

Note: Project due date displayed is UTC timezone.

Step 4: Keep the default 'None' for the Project Template.

Step 5: (Optional) Select your workflow setting, which will determine the behavior when changes are requested on a file.

Step 6: (Optional) Tag your project with any applicable Project Attributes, which can be defined now or later in your workflow.

Step 7: Click Create. A new window opens showing an overview of your new project.


Building out your project Workflow

The following steps show you how to create tasks using the Workflow builder.

Note: It is recommended to pause the project before making any changes to the workflow assignments, to prevent task emails from going out until the project is ready to start.

Step 1: Click the WORKFLOW tab. The Workflow Builder opens.

The following steps show how to create tasks on the workflow tab. Using the inline quick task creation option, you can also create the tasks in advance on the OVERVIEW tab.

Step 2: Choose to Create General Task or Create Approval Task to start creating a workflow.

Note: When you create a new task it is inserted after the existing task, but may be moved after it's created.

(Example below shows Creating General Task)

Step 3: Enter a name for your task, select the Owner, (optional) set a task Due Date, and click Create.

The first task of your project is created and you can build from this task.

Step 4: Click on the More Actions (...) menu of the first task and select Create General Task, or Create Approval Task.

Step 5: Enter a name for your task, select the Owner, (optional) set a task Due Date, and click Create.

Step 6: Repeat steps 4 & 5 until you have all of the tasks needed for your project.

The tasks are added to your project in sequential order by default.


Deleting Tasks

If you create a task but discover that it is not needed, you can Delete it. To do so; click on the More Actions (...) menu of the task and select Delete Task.

If you delete tasks that are in sequential order, the task before and after will be joined and they will become dependent on each other.


Removing All Connections

If you click on the More Action (...) menu you can choose Remove All Connections. This removes the task from the workflow and puts it between the project start and end so that it is parallel to all other tasks in the workflow.


Rearrange Tasks using Drag and Drop

The following steps show you how to rearrange tasks within the Workflow builder. You can move tasks to be in parallel or in sequence following other tasks, so they are completed in the right order.

Step 1: Click on the task you want to move, and drag the task onto a task that is located before or after. You can also drop a task onto a connection line to inset a task between two tasks.

The task or connection you are dragging onto will highlight in blue.

  • hover to the left of that task, you can Insert Task Before.

  • hover to the right of that task, you can Insert Task After.

Step 2: To define a set of parallel tasks, drag and drop each task onto one of the tasks in the parallel step. The task will be placed in parallel with the existing ones.


Zoom Out, Zoom In, Reset Zoom & Pan

As your workflow develops you can do the following to better navigate the workflow screen:

  • To Zoom Out click on the - icon.

  • To Zoom In click on the + icon.

  • To Pan, click and hold while dragging.

  • To Reset Zoom and Pan, click on the circle icon.

Once your tasks are in order, click on the OVERVIEW tab to select task owners and assign task due dates. From here you can also click on a task to view its details and make changes as needed. Once ready, click Resume Project to start your project.
